What belongs in a brand deal or sponsorship tracker?
This sponsorship tracker template works for individual paid partnerships and UGC projects. Use it to record agreed work and next actions, whether you call them brand deals, sponsorships, or collaborations.
Use one row per deal. Record only the terms you have actually confirmed, and keep a link to the email or document that supports them. Leave an unknown date empty and add a next action instead of treating a guess as an agreement.
| Field | What to record |
|---|---|
| Deal ID, brand, creator | A stable reference, brand name, and person delivering the work. |
| Stage and next action | Where the deal stands and the specific next step, with an owner and follow-up date. |
| Fee and currency | The agreed amount and its currency in separate columns. |
| Deliverables and next deadline | A short scope summary and the nearest confirmed due date. |
| Invoice status and payment dates | Whether the invoice is drafted, outstanding, overdue, or paid. |
| Source and usage notes | Where the agreement lives and the usage details you need to check. |
For several deliverables under one deal, keep the deal summary here and use the deliverables tracker for individual content deadlines.
A worked example: two UGC videos
The download includes one fictional example and one empty row. Maya has agreed to create two videos for Lumen Skincare for USD 1,650. The first draft is due October 5. The invoice has not been sent, so payment dates remain blank.
| Deal | Stage | Next action | Payment |
|---|---|---|---|
| DEAL-001 · Lumen Skincare | In production | Maya: submit first draft by Oct 5 | Not invoiced |
The next action is specific enough to act on. “Follow up” alone would not tell Maya whether to send a draft, ask for approval, or check a payment. The source field points to the agreement; it is not replaced by a memory of the conversation.
Set up the template in Google Sheets or Excel
- Download the CSV. No email address or Handl account is needed.
- Import it into your spreadsheet app. In Google Sheets, use File → Import → Upload. In Excel, open the CSV or import it as text/CSV.
- Replace the sample. Delete the fictional deal and add your own confirmed terms. Use YYYY-MM-DD dates so they are easy to sort.
- Add filters. Filter by creator, stage, or invoice status. Sort follow-up dates to find the next task.
- Keep currencies separate. Filter by currency before adding amounts together.
The CSV is plain data: it does not include formulas, automatic reminders, or a live connection to your inbox. Save your working copy as a spreadsheet if you add formatting or dropdowns.
A short weekly review
Start with follow-ups due today, then check upcoming content deadlines and unpaid invoices. After each meaningful brand reply, update the row and its source link. If a deal has no next action, decide whether it is waiting on you, waiting on the brand, or ready to close.
Keep “delivered” and “paid” separate. Finishing the content does not mean the invoice has been paid, and an agreed fee is not the same as money received.
When a spreadsheet starts creating extra work
A sheet works well when you can keep it current. If you repeatedly copy terms from emails, search for the latest brief, or reconcile a shared tracker, Handl can help. It proposes deal details from connected Gmail threads and uploaded documents, with the source attached for your review.
You still confirm the terms. Revenue tracking and other advanced features depend on beta account access. Start with the Gmail deal workflow or explore shared workspaces for talent teams.
Common questions
Is this a Google Sheets template?
It is a CSV you can import into Google Sheets, Excel, or another spreadsheet app. You get editable column headings, a fictional example, and a blank row.
Can I use it for sponsorships and UGC deals?
Yes. Record the agreed scope for each partnership and add a separate deliverable row for each piece of content. Adapt the stages and notes to your workflow.
Does the template sync with Handl?
No. The CSV is a standalone resource. It does not sync with Handl or import your Gmail conversations.
