Separate the delivery date from the usage expiry
Your draft deadline, final delivery date, and agreed content usage expiry answer different questions. Handl keeps confirmed deliverable dates and usage expiries visible together so one is less likely to disappear after production ends.
Start with the source agreement. Check which deliverable the term covers and whether the expiry is stated as a date or depends on an event. If the start of a usage period is still unconfirmed, keep that uncertainty visible when reviewing the proposed terms.
The workflow follows the dates you confirm. It does not infer when a brand first ran an advertisement or monitor its activity on social platforms.
Follow one content usage window in Handl
- Bring in the agreement. Connect a relevant Gmail thread or upload the contract or brief.
- Check the proposed expiry. Review the extracted date and the source that supports it. Correct or dismiss a proposed value if the agreement is unclear.
- Confirm the deal details. Keep the expiry attached to the relevant deliverable and its deal record.
- Review the calendar. See confirmed usage expiries alongside content deadlines and your connected Google Calendar events.
- 01 · Source agreementVideo delivery: October 5
The signed brief separately states that the agreed usage ends November 15.
- 02 · Confirmed recordUsage expiry: November 15
You check the date against the source and confirm it for the deliverable.
- 03 · Review timeOpen the agreement before following up
Use the approaching date as a prompt to review the terms and decide whether to contact the brand.
Use your own agreement’s dates. The example illustrates record keeping; it does not establish a standard license length.
Keep usage expiry reminders in your workflow
Confirmed expiries appear in Handl’s calendar. If you choose to enable Google Calendar reminders, Handl asks for separate permission to create and maintain its reminder events. Connecting Gmail alone does not enable calendar writes.
With insights enabled for your account, usage-expiry insights can also surface approaching or recently lapsed confirmed windows with the relevant deliverable and date. Open the source before acting on an insight.
An expiry alert is a reminder to review the record. It does not determine whether the brand has stopped using content, send a renewal email, or take content down.
Keep a renewal request separate from a confirmed extension
If a brand asks for more usage time, find the original deal and review the request against its current terms. Decide the revised agreement in your brand conversation, then review and confirm any proposed updates in Handl.
Do not move an expiry simply because an extension was requested. Keeping the request and confirmed record distinct makes the next review clearer for you and any talent manager sharing the workspace.

Common questions
Can Handl detect a brand using my video after the agreed date?
No. Handl tracks confirmed expiry dates and surfaces them for review. It does not monitor advertisements, inspect brand accounts, or determine whether a particular use is permitted.
Can I track usage without enabling Google Calendar reminders?
Yes. Confirmed usage expiries remain visible in Handl. Google Calendar reminder writes are an optional step that requires your permission.
Will Handl automatically negotiate a usage renewal?
No. You handle the conversation with the brand and confirm any revised terms. Gmail access is read-only, so Handl cannot send that message for you.
